Mail-out service

Printed, stuffed and mailed — straight from the file in Milo.

Not every resident is online. Our mail-out service turns a Milo workflow step into a physical letter: we print the invoice, notice or receipt, place it in an envelope carrying your municipality's branding, and put it in the post — with every piece logged back on the resident's file.

Standard mail-out

One branded envelope, up to three letter-size sheets.

Our standard offering is a customized #10 envelope printed with your municipality's name, logo and return address, containing up to three 8½ × 11 sheets. Most clients use the three sheets the same way: the document itself, a municipal notice, and an insert.

Sheet 1The document

Invoice, renewal notice, receipt, permit or instruction letter — generated from the resident's file in Milo, so the amount, file number and due date are always current.

Sheet 2Municipal notice

Anything the municipality wants every recipient to read: by-law changes, program dates, how to renew online, where to pay in person.

Sheet 3Insert

A flyer or marketing piece — lost-pet page, parks programming, a community reminder — printed in colour, single or double-sided.

How it works

A mail-out is a stage in the workflow, not a spreadsheet you export.

Mail-outs are triggered by the same rules as email and text — a renewal coming due, an invoice issued, a fine recorded. Residents who chose "mail" as a preference, or who have no email on file, get the printed version automatically.

1

Trigger in Milo

A workflow action or a staff-run batch selects the recipients and the template.

2

Proof and approve

Staff see a PDF proof of each piece and the count before anything prints.

3

Print, stuff, mail

Blü prints, inserts, seals and lodges the run with Canada Post or USPS from an in-country facility.

4

Logged on the file

Each piece is recorded on the resident's file with the date mailed — for audit, and for "I never received it" calls.

Other formats

Beyond the standard envelope.

The three-sheet #10 covers most programs. When a mail-out needs something else, we quote it as a custom run.

Larger envelopes

9 × 12 flats for permits with plans, multi-page orders or bound material.

Postcards and self-mailers

Seasonal reminders and community notices at a lower per-piece cost.

Registered and tracked mail

Enforcement orders and legal notices that need proof of delivery.

Return envelopes and remittance

Pre-addressed return envelopes and tear-off remittance stubs for cheque payers.

Pricing and turnaround

Per piece, postage at cost.

Standard mail-outs are priced per piece for printing, materials and handling, with postage passed through at the carrier's rate. Volume tiers apply to renewal seasons. Standard runs are lodged within three business days of approval; rush runs on request.
